Through weekly programs, seasonal gatherings, and volunteer-led efforts, Roots serves as a space for sincere connection and personal growth.

The Programs Manager Lead is a full-time role responsible for overseeing the preparation, execution, and continuous development of Roots programming. This includes managing internal systems, leading volunteer teams, supporting documentation efforts, and ensuring every program runs with ihsaan and intentionality. As a core member of the Roots staff, the Programs Manager Lead helps set the tone for the rhythm and culture of community life.

Programs Oversight Responsibilities

Program Management & Planning

  • Lead the full lifecycle of all Roots programs: planning, logistics, execution, and post-program follow-up

  • Maintain and manage internal program calendars, workflows, and team assignments

  • Ensure smooth logistics for registration, space setup, materials, communications, and on-site support

  • Document and refine program operations to improve clarity, consistency, and efficiency

Systems & Cross-Team Collaboration

  • Develop and maintain program SOPs, checklists, and planning templates

  • Work collaboratively with the Community Operations Manager to align program planning with organizational goals

  • Coordinate with the Communications and Hospitality teams to ensure seamless execution across departments

  • Ensure systems are in place for repeatable, high-quality program delivery

Volunteer Team Leadership

Volunteer Program Development

  • Build and lead specific volunteer teams (e.g., registration, hospitality, logistics, greeters) tailored to program needs

  • Define clear roles, expectations, and workflows for each team

  • Create internal documents to support onboarding, task execution, and training

Recruitment & Onboarding

  • Develop volunteer recruitment strategies and maintain an active pipeline of engaged community members

  • Oversee a consistent onboarding process that introduces volunteers to Roots culture, expectations, and logistics

  • Assign volunteers to roles that align with their interests and the needs of the space

Team Culture & Morale

  • Foster a team environment rooted in sincerity, excellence, and mutual support

  • Celebrate contributions and build a rhythm of recognition and gratitude

  • Host regular appreciation efforts and occasional volunteer gatherings

Offboarding & Transitions

  • Maintain respectful and clear offboarding processes for volunteers stepping away

  • Use exit feedback to strengthen volunteer culture and improve team dynamics

Ongoing Support & Supervision

  • Hold regular check-ins with key volunteer leads and Program Coordinators

  • Provide feedback, support, and direction to strengthen each team’s contribution

  • Adapt team structures and workflows based on evolving program needs

Community Experience & Feedback Integration

  • Collect participant and volunteer feedback through surveys, conversations, and observations

  • Analyze feedback trends and use them to inform program and team improvements

  • Present key insights to the leadership team to guide future decisions

  • Prioritize responsiveness to community needs and deliver programs with care and impact

Qualifications

  • 2–3+ years of experience in program, event, or volunteer management

  • Skilled in writing clear, functional documentation (SOPs, planning templates, volunteer guides, etc.)

  • Strong organizational and time management skills, with an ability to manage multiple moving parts

  • Confident communicator who can lead teams, host meetings, and support diverse stakeholders

  • Experience supervising volunteers and building team structures that support morale and mission

  • Deep alignment with the values of Roots: ihsaan, intentionality, sincerity, and service

Compensation & Schedule

  • Full-time salaried position (commensurate with experience)

  • Some evening and weekend hours required based on programming schedule
